We take your privacy very seriously, for the safety of our clients, we maintain records such as medical forms, consent forms, before and after photos, we also make notes on the treatment we have provided that day and any updates on your health/medical conditions. These records may indicate that a particular service or treatment should not be carried out due to allergies, pregnancy, skin or medical conditions, or a particular product containing certain ingredients for e.g nuts, fish oils, fruit etc.
Before and after photos are kept safely for insurance purposes, when filling out your medical form, you can tick for your photos to be stored only. Or there is an option for them to be shared on social media and for advertising/marketing purposes.
Your health/medical records are not used for any other purpose. Client records are held securely within our clinical software system and can only be seen by myself (Shelbie).
All records are confidential.
By booking online or paying a booking fee through other booking options, you consent to Nani-Gloe Skin to maintain such records while you are client and to be stored as archive files if treatment is to stop.

How we store your personal information
- Your information is securely stored.
- Your personal information is stored on Ovatu which is on my laptop and work phone.
- There may be personal information via my work email either from yourself, the booking system, me to you. Emails are used to booked appointment’s, any enquires, skincare recommendations, skin guides, nutrition advice. Which may sometimes have your name, email and phone number on, it may also have other personal information about your skin and medical.
- There may be personal information via Instagram and messenger, this will be between me and the client (yourself).
- I also have a link to my booking system on my website and on Instagram using linkedin.
There may be personal information via whatsapp which is sent and used for GET HARLEY, this is used to send your skincare recommendations over, I share your name, number and email. Your details are not used for anything else when sent to GET HARLEY.
There may be personal information on my laptop and phone – photos for insurance purposes, you get a choice whether you would like these for just in clinic or to be shared. There will also be text messages, whatsapp and emails that may hold personal information
We keep all your personal information on the systems indefinitely, unless you would like this withdrawn, we will then dispose your information by deleting all data from the system.

We share your Personal Information with third parties to help us use your Personal Information, as described above. How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
I receive personal information from the booking system, once forms are complete.
I receive personal information online via Instagram, Facebook, Email, Website, WhatsApp or Text message from clients when there are enquires and/or booking appointments.
I also have a link to my booking system on my website and on Instagram using linkedIn
Why we have your personal information:
· To be able to carry out treatment, we must have a medical form complete and consent.
· Access to the GET HARLEY portal
· Access to medical grade skincare, must have a consultation first and all forms must be completed
We may share this information with GET HARLEY.
How GET HARLEY works:
- Some of your personal information will be shared through email or whatsapp
- You will be put on the portal through the GET HARLEY team, this is so you can purchase skincare products
- You will receive a link from GETHALEY and ongoing support/messages on discounts, advice and to keep in touch on your skin journey and if you ever need any help.
- Once you click on the link, this will take you to the portal to purchase the recommended skincare.
The information being shared to GET HARLEY is your name, phone number and email. I send the team the products I recommend and your personal details are put onto the GET HARLEY portal, As well as the skincare recommendations.
Ways that your personal information is kept securely
- Anti-virus software
- I Lock my screen when I am temporarily away from my laptop/phone.
- I do not use public Wi-Fi, or an insecure connection.
- I Use strong passwords and multi-factor authentication on all devices and have further passwords to get through to whatsapp
- Work phone has a privacy screen protector
